FAQ: Why We Cannot Provide Transfers Outside of Trip Dates

A transparent look at logistics, limitations, and better alternatives

I’ll start with something I genuinely mean: I understand that our transfer policy can feel like an unnecessary hassle, especially for members who arrive early to shake off jet lag or who extend their stay to explore a destination more deeply. Many of you do exactly that, and it’s one of the reasons I love this community – you’re not box-tickers rushing from one sight to the next. You travel thoughtfully, and that often means building buffer time into your journeys.

So when I tell you that Wheel & Anchor cannot provide airport transfers outside the official trip dates, that is, before Day 1 or after the final day, I want you to know it’s not arbitrary, it’s not punitive, and it’s certainly not because we don’t care about making your travel seamless. It’s because we learned, through years of painful trial and error, that trying to accommodate custom transfer requests actually delivers a worse experience for everyone involved.

Let me explain how we got here, why the policy exists, and most importantly, why the solution we’re recommending might actually serve you better than anything we could provide ourselves.

The Experiment That Failed

For years, we tried to be accommodating. A member would email saying they were arriving two days early and could we please arrange a transfer from the airport to the hotel? It seemed reasonable. We’d coordinate with our local transfer provider, communicate flight details, and hope everything worked smoothly.

Except it rarely did.

The problems clustered around a few predictable patterns. Members would provide flight information that later changed: a different airline, a different time, sometimes even a different airport and wouldn’t update us. Or they’d arrive, encounter a delay or gate change, try to contact us in the middle of the night Toronto time, and discover we don’t have 24/7 support because we’re a team of a dozen people, not a multinational conglomerate. Or the transfer driver would be waiting at the wrong terminal because the communication chain: member to us to local partner to driver – had broken down somewhere along the way.

We tracked this for a full year, trying various workarounds. We experimented with “common-sense exceptions”: if you’re arriving early but meeting another member at the airport, you could share their transfer and avoid forfeiting yours. Surely that would work?

It didn’t. In fact, 89% of customized transfers (yes, we counted exactly) falling outside Day 1 or the last day resulted in errors, missed connections, or member dissatisfaction.  Not 20%. Not 50%. Eighty-nine percent. Every time there was a mistake, miscommunication, or missed pickup, it involved a transfer that fell outside the core trip package.

The failures weren’t because our partners were unreliable. They weren’t because members were careless. They were structural. The systems we had in place, designed to deliver a flawless experience during the trip, simply couldn’t extend backward or forward without creating cascading points of failure.

Why Day 1 and the Last Day Work So Well

Here’s what makes our standard transfer service reliable: predictability, concentration, and on-the-ground support.

On Day 1 of every trip, our host arrives 24 hours early specifically to be available for transfer coordination. If your flight is delayed, if you can’t find your driver, if there’s any hiccup whatsoever, you have a dedicated contact person who speaks English, knows the local landscape, and can troubleshoot in real time. You’ll have communicated with them by Telegram already so you’ll have someone to reach directly.

On top of that, we contract with transfer providers on the basis that all pickups happen on a single day, grouped by arrival time. Members arriving within a 30-minute window share transfers, which makes the service dramatically more cost-effective and ensures drivers aren’t sitting idle waiting for scattered arrivals.  Our transfer partners commit one liaison point, our host, rather than juggling communication with a dozen individual travellers across multiple days. The result, since implementing this focused model, has been near-flawless execution.

Contrast that with what happens when we try to coordinate a transfer two days before Day 1: we have no one on the ground yet, no host to intervene if something goes wrong, no grouped arrivals to share costs, and no structural support system. The transfer company we contract with for Day 1 isn’t generally on-site 24/7. They drive in specifically for our trip dates, which is part of why we’re able to negotiate favourable pricing and dedicated service.

Trying to extend that service backward or forward would require us to contract separately for each custom transfer, manage communications remotely across time zones, and hope nothing goes sideways in transit. Based on our data, something would go sideways, and you’d be left stranded or frustrated while we scramble from Toronto to fix a problem we’re not equipped to solve in real time.

The Small Company Reality

This is where I need to be blunt about what Wheel & Anchor is… and isn’t.

We’re not Trafalgar or Intrepid or G Adventures or any of those massive tour operators who run the same itineraries week after week, year after year, like a well-oiled hamster wheel. Those companies have destination offices, multilingual staff on the ground, 24/7 call centres, and the infrastructure to handle custom requests across dozens of simultaneous departures. They can afford to say yes to nearly any transfer request because the system is built for high-volume, high-variability operations.

We’re a boutique operator with a dozen staff, running roughly 50 unique trips per year with deeply curated itineraries that change and evolve based on member feedback.  The reason you book with us is because we’re not those cookie-cutter companies. You get hand-selected hotels, direct relationships with local guides, itineraries designed for depth over breadth, and pacing that prioritizes serendipity and rest.

But that model comes with trade-offs. One of those trade-offs is that we cannot provide the kind of sprawling, always-on logistical support that giant operators can. From the moment Day 1 begins until the last guest departs on the final day, you have our full attention and resources. Outside that window, we simply don’t have the infrastructure to guarantee the quality of service you deserve.

What About the $25 Credit?

When we tightened our transfer policy, we knew members who arrive early or stay late would forfeit the included transfer. To acknowledge that, we issue a CAD$25 per person credit for each forfeited transfer.

That figure is an average across all our trips. Some transfers cost more, some less, depending on destination and distance. In cases where the actual transfer cost exceeds $25, you’re technically paying a bit more out of pocket. But the credit is meant as a gesture: we’re not pocketing the full transfer fee when you choose to extend your stay. We’re returning part of that value to you.

More importantly, that $25 credit recognizes that you’re in a better position than we are to coordinate your own transfer when it falls outside trip dates.

The Better Alternative: Welcome Pickups

Here’s where this story has a genuinely positive turn.

As well-traveled people (and I mean that sincerely; our members have collectively been to more countries than most people will see in a lifetime) you don’t need us to hold your hand through an airport transfer. You’ve navigated far more complicated logistics on your own. What you do need is a reliable service that’s actually equipped to handle the variables of modern air travel.

That’s why we recommend Welcome Pickups (https://www.welcomepickups.com/).

Welcome Pickups is a multinational transfer company operating in dozens of countries. Unlike our boutique transfer arrangements designed specifically for Day 1 group service, Welcome Pickups offers:

  • 24/7 call centre support
  • Real-time flight monitoring so drivers adjust automatically when your arrival changes
  • Direct communication with your driver via WhatsApp or in-app chat
  • Toll-free contact numbers and email support if issues arise
  • Professional, vetted drivers with transparent pricing and no hidden fees

When you book through Welcome Pickups, you are the primary contact. If your flight is delayed three hours, you don’t have to track down our team in Toronto and hope we can reach a local partner before your driver leaves. The system adjusts automatically. If you need to communicate with the driver, you can do so directly. If something goes wrong, you can call a 24/7 support line that will actually answer.

In other words, you get more control, more flexibility, and more reliable service than we could ever provide for transfers outside our trip dates.

All that being said, you don’t have to use them. Many of our members are well-versed in ridesharing apps like Uber, Lyft, Grab, Bolt, Yango and so on and so on. Personally that’s what I use when bouncing around the world checking out what’s next for our members. I’ve never been let down so far.

The Package Philosophy

At its core, this policy reflects how we think about what we’re delivering.

A Wheel & Anchor trip is a package that runs from the moment you’re welcomed on Day 1 until you depart on the last day. Within that window, we own the experience completely. Your host is on call, your transfers are coordinated, your hotels are vetted, your guides are briefed, and every logistical detail is our responsibility.

Outside that window, before Day 1 or after the last day, you’re travelling independently, and that’s appropriate. You’ve chosen to extend your time in the destination on your own terms, which might mean a different hotel, a different neighbourhood, or simply the freedom to move at your own pace without coordinating with a group. That independence is valuable, and it’s better served by tools designed for independent travellers (like Welcome Pickups) than by a boutique operator trying to stretch its support model beyond its structural limits.

To put it differently: we’re not saying you can’t have a great transfer experience outside trip dates. We’re saying you’ll have a better experience if you coordinate it yourself using services designed exactly for that purpose.

A Note on Disclosure and Transparency

None of this is hidden or sprung on members at the last minute. Our transfer policy is spelled out clearly in the All Trips Reference Guide, which every member receives upon booking.  The policy is also discussed during the booking process, and we actively encourage members planning pre- or post-trip extensions to review the transfer section carefully so there are no surprises.

We disclose this because transparency is part of our ethos. You’re not signing up for a rigid, impersonal experience, you’re joining a community built on trust, clear communication, and mutual respect. That means being honest when we can’t deliver something, explaining why we can’t, and pointing you toward a better solution.

The Bottom Line

So here’s where we land: I genuinely empathize with the fact that forfeiting an included transfer feels like a small loss, especially when you’re extending your trip for good reasons. I also understand that on the surface, it might seem like we’re being unnecessarily inflexible.

But the data is unambiguous. After years of trying to accommodate custom transfer requests, 89% resulted in problems that left members dissatisfied and our team scrambling.  The current policy which is that transfers are included only on Day 1 and the last day, has resulted in near-perfect execution. Members are picked up reliably, drivers are communicated with seamlessly, and our hosts have the tools and support to troubleshoot in real time.

For transfers outside those dates, you’re better off booking directly with a service like Welcome Pickups. You’ll get 24/7 support, real-time flight tracking, direct driver communication, and the kind of professional infrastructure that’s specifically built for independent travellers navigating complex logistics.

As seasoned travellers, you know that handling an airport transfer isn’t actually that complicated especially when you have good tools. Welcome Pickups gives you those tools, and the $25 credit we provide offsets part of the cost.

This isn’t about making your life harder. It’s about us being honest about our limitations as a small operator, protecting the quality of the core experience we are able to deliver flawlessly, and pointing you toward a solution that genuinely works better for everyone involved.

We’ll keep delivering the parts we’re great at… curated itineraries, hand-picked hotels, immersive pacing, and on-the-ground support during your trip. For everything outside that window, we trust you to take the reins with tools designed exactly for that purpose.

Because at the end of the day, you don’t need us for everything. You just need us to be excellent at the things that matter most and to be honest when something falls outside our wheelhouse.
